Privacy notice

We hold as little information about you as we can, and we never sell it. This notice explains exactly what we keep, why, and what you can ask us to do about it.

Who is responsible

Taskmaster Modules is the data controller for the information described here. That means we decide what is collected and why, and we are accountable for it under UK data protection law.

We only hold information about the staff who use this site. We do not ask for, want, or store anything about your residents. Please do not put resident details into the contact form.

What we collect

When you register we store your name, email address, and optionally your care home name and job role.

We record which modules you subscribe to, when each subscription started and ends, and the date and time you agreed to immediate access at checkout. We have to keep that last one to show the cancellation waiver was properly obtained.

We record when a module was last opened. That tells us which activities are actually useful and which need reworking.

If you send us a message through the contact form, we keep your name, email address and the message itself.

Payment card details never reach us. When a payment provider is connected, it handles the card and we only ever see a reference and the amount.

Why we are allowed to hold it

For your account, your subscriptions and the consent record: to perform our contract with you.

For replying to your messages, keeping the site secure, and understanding which modules are used: our legitimate interest in running and improving the service, balanced against your privacy.

For emails about new modules: your consent, given by ticking the box. You can withdraw it at any time on your account page, and it will not affect anything else.

For billing records: our legal obligation to keep accounting records.

Who can see it

You, and the site owner. Our database enforces this itself: the rules live in the database rather than in the website, so your records cannot be returned to another member even if something on the site goes wrong.

Our hosting, database and email suppliers process data on our behalf under written agreements that stop them using it for their own purposes. Our database is hosted within the European Economic Area.

We never sell your details, and we never pass them to other organisations for marketing.

How long we keep it

Your account details: for as long as you have an account, then deleted within thirty days of you asking us to close it.

Billing and consent records: six years after the end of the subscription, because tax law requires it.

Contact form messages: two years, then deleted.

Your rights

You can ask for a copy of everything we hold about you, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, or object to our using it. You can also ask for it in a portable format.

Use the contact form and we will respond within one month, free of charge. We may need to check who you are first.

If you are unhappy with how we have handled your information, please tell us so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or by telephone on 0303 123 1113.

Security

Access to modules is controlled by the database itself, not by the website, so a fault in the site cannot hand your documents to somebody else. Document downloads use short-lived links that expire quickly.

Please sign out when you finish if you are on a shared office computer or a tablet in a day room.

Cookies

We only use the cookies needed to keep you signed in. There are no advertising or tracking cookies, which is why you are not asked to dismiss a banner.

Changes to this notice

If we change how we use your information, we will update this page and email you where the change is significant.
